Communication

This chapter covers communication using email and the effective use of the internet. It includes email rules and security, netiquette, spam, the internet and WWW, intranets and extranets, online communication tools, ISPs, search engines, internet protocols and internet risks.

10.1 Communication with other ICT users using email

Email is one of the most common ways of communicating electronically. However, users need to follow rules relating to security, acceptable behaviour and legislation.

Email legislation

Many countries have laws controlling how organisations send emails.

Important rules include:

users may need to opt in before receiving marketing emails
recipients should be able to opt out/unsubscribe
subject lines should not be false or misleading
organisations should clearly explain their privacy policy
email addresses should not be collected unlawfully

Acceptable language

Email, text messages and online forums should not contain inappropriate material.

Examples include:

abusive or threatening language
racist or violent messages
obscene content
illegal material

Users should think carefully about what they write because electronic messages can easily be copied or forwarded.

Company email policies

Organisations may create rules telling employees how company email systems should be used.

These may cover:

whether personal email is allowed
acceptable style and tone
confidential information
use of passwords
virus protection
how long emails should be stored
monitoring of employee email

Copyright and emails

Emails and their attachments may be protected by copyright.

Users should therefore be careful before:

copying
printing
forwarding

an email or attachment, particularly if it is marked confidential or copyrighted.

Email security

Email security can be improved by:

using strong passwords
changing passwords regularly
using spam filters
running anti-virus and anti-spam software

Emails may also be affected by:

Passive attacks – information is disclosed without permission.

Active attacks – messages are changed, systems are overloaded or malicious software/phishing attacks are used.

Netiquette

Netiquette means internet etiquette – behaving politely and responsibly when communicating electronically.

Important rules include:

do not use abusive language
do not send spam
keep messages clear and brief
respect other people's privacy
check spelling and grammar
do not plagiarise
avoid writing entire messages in CAPITAL LETTERS because this can be interpreted as shouting

Email groups

An email group stores several email addresses under one group name.

Uses include:

quickly emailing many people
organising meetings
sending information to selected groups of customers

Instead of entering every email address separately, the sender can use the group name.

Cc and Bcc

Cc – Carbon copy

People in the Cc field receive a copy of the email.

All recipients can normally see the addresses placed in the Cc field.

Bcc – Blind carbon copy

People in the Bcc field also receive the message, but their email addresses are hidden from the other recipients.

Bcc is therefore particularly useful when sending an email to a large group because it protects people's email addresses.

Forwarding emails

Forwarding sends a received email to another address.

Care is needed because:

spam may also be forwarded
excessive forwarding can cause filtering problems
users should consider confidentiality and copyright before forwarding messages

Attachments

An attachment is a file sent with an email.

Users should be cautious because malicious emails may contain executable files such as:

.exe
.msi
.bat
.cmd

Large files can also exceed an ISP's permitted attachment size.

Alternatives for large files include:

compressing the file
uploading the file to an online service and emailing a link

Spam

Spam is unsolicited email sent over the internet, often to many recipients.

Spam can:

waste users' time
fill inboxes
use internet bandwidth
contain viruses
be part of phishing scams

Spam can also occur on mobile phones through unwanted text messages.

10.2 Effective use of the internet

The internet provides access to huge amounts of information and communication services. This section covers the internet, WWW, intranets, extranets, blogs, wikis, social networking, forums, ISPs, browsers, search engines, protocols and risks.

Internet and World Wide Web

The internet is a worldwide collection of interconnected networks.

The World Wide Web (WWW) is only one part of the internet. It consists of web pages and websites that are accessed using web browsers.

Important: The WWW is part of the internet, not the other way around.

Intranet

An intranet is a private network based on internet technology but designed for use within an organisation.

Access is usually restricted to authorised users.

Advantages include:

greater security
information can be designed specifically for employees
sensitive information can remain within the organisation
often better bandwidth than using the public internet

Extranet

An extranet extends part of an organisation's intranet to authorised people outside the organisation.

For example, selected:

suppliers
customers
business partners

may be given controlled access to certain information.

Sensitive information can remain protected using passwords and other security measures.

Intranet vs extranet

Intranet: mainly for people inside the organisation.

Extranet: allows selected external users to access part of the intranet.

Blogs

A blog (web log) is an online journal where an author posts information or opinions.

Features:

regularly updated
usually shown in reverse chronological order
normally public
usually written by one main author
readers generally cannot edit the original posts

Microblog

A microblog is similar to a blog but uses short, frequent posts.

It is commonly used on social networking platforms.

Business blog

A b-blog is a business blog used by companies to promote themselves online.

Wikis

A wiki is a website that allows users to create and edit content collaboratively.

Features:

many users can contribute
pages can be edited through a browser
content can be changed or deleted
previous edits can be stored in a document history
useful for sharing large documents

Social networking sites

Social networking sites allow users with similar interests to communicate and form online communities.

Users can often:

create profiles
upload photographs and videos
send messages
use instant messaging/video chat
create pages
add friends
control access to private information

Forums

A forum is an online discussion area.

Moderated forum

Posts are checked by an administrator before being published.

The moderator can remove:

spam
offensive material
inappropriate posts
posts unrelated to the discussion

This can make a moderated forum safer than an unmoderated one.

Internet Service Provider (ISP)

An Internet Service Provider (ISP) is a company that provides users with access to the internet.

Users normally pay for the service and receive account/login details.

The ISP provides the equipment and communication links required for internet access.

Web browser

A web browser is software that allows users to access and display web pages.

It interprets HTML and displays content such as:

text
images
video
sound

Common browser features include:

home page
bookmarks/favourites
browsing history
forward/back controls
hyperlinks

URL

A URL (Uniform Resource Locator) is the address used to locate a resource or web page.

A URL can contain:

protocol://website address/path/filename

For example:

https://www.example.com/folder/page

Important parts may include:

protocol – HTTP or HTTPS
domain name
domain type such as .com or .org
country code
path
filename

If the address is incorrect, an error such as HTTP 404 may appear.

Search engines

A search engine helps users locate information when they do not know the exact URL.

The user enters keywords/search criteria, and the search engine looks for matching web pages.

A more specific search usually produces fewer and more relevant hits.

Improving searches

For example:

ICT books

may produce millions of results.

Adding more specific words makes the search narrower:

ICT books + Hodder + IGCSE

Advanced search options can reduce the results even further.

Using information found online

Information found online may be:

bookmarked
linked in another document
copied into another document
captured as an image

However, users should always acknowledge their sources to avoid plagiarism and copyright infringement.

Advantages and disadvantages of using the internet for research

Advantages

huge amount of information
information can be updated quickly
searches are fast
accessible from home
multimedia can make information easier to understand

Disadvantages

information may be incorrect or biased
inappropriate content may appear
users can become distracted
information overload can occur
copying information can encourage plagiarism

Evaluating information found on the internet

Information found online should not automatically be trusted.

Important checks include:

Author/source

Can you identify the author or organisation? Is the source reliable?

Accuracy

Can the information be confirmed using another source?

Bias

Is the information objective, or is it trying to persuade the reader?

Date

When was the information published or last updated?

Evidence

Are claims supported by reliable references?

Website quality

Does the site look genuine and do its links work?

A useful revision idea is:

Who wrote it? → Is it accurate? → Is it biased? → Is it current? → Is there evidence?

Internet protocols

A protocol is a set of rules used when devices communicate and transfer data.

HTTP

HTTP (Hypertext Transfer Protocol) is used when transferring web-page data over the internet.

HTTPS

HTTPS is the secure version of HTTP.

The S means secured. It is used when data is protected using security such as encryption/SSL.

FTP

FTP (File Transfer Protocol) is used to transfer files from one computer to another over a network or the internet.

SSL

SSL (Secure Sockets Layer) allows information to be transmitted securely over the internet.

When SSL is used:

data is encrypted
the user's computer and web server can interpret the information
https and a padlock normally indicate the secure connection

It is commonly used for:

online banking
online shopping
email
cloud storage

Internet risks

The internet may contain:

incorrect information
inappropriate material
illegal content
security threats

There is debate about whether the internet should be more strictly controlled.

Arguments for greater control

protect children and vulnerable users
reduce illegal material
reduce publication of incorrect information

Arguments against greater control

difficult and expensive to enforce worldwide
different countries have different laws
may restrict freedom of speech
existing laws already cover some illegal activities

Additional protection can include:

parental/router filters
mobile network restrictions
education about safe internet use
